GETTING STARTED
1. How do I create an account?
Click the Register button on the sign-in page and choose your account type. Clients can start submitting requests immediately after confirming their email address. Consultants go through an approval process — after confirming your email, your profile will be reviewed by the platform administrator before you can receive invitations to quote.
2. I registered but cannot access my portal. What should I check?
First, check your inbox for a confirmation email and click the link inside it — your account is not active until your email is confirmed. If you are a consultant, your account also needs to be approved by the administrator after confirmation. If you have confirmed your email and are still unable to access the portal, contact support.
3. I forgot my password. How do I reset it?
On the sign-in page, click “Reset it here” below the sign-in form. You will receive a password reset link by email. If you do not receive it within a few minutes, check your spam folder.
FOR CLIENTS — PAID SERVICES
4. How do I submit a request for regulatory affairs services?
Log in to your client portal and click “New Request” from your sidebar menu. Describe your project, select your target specialties and countries, and attach any relevant documents. Once submitted, the platform will match your request with suitable consultants and invite them to quote.
5. How are consultants selected for my request?
The platform automatically matches and invites consultants based on their specialties, countries of expertise, and availability. You may also browse the consultant directory and invite specific consultants yourself, subject to the platform’s invite limit per request.
6. I have received multiple quotes. How do I compare and respond?
Go to your request in the client portal and open the “Quotes Received” section. Each quote is displayed in a table showing the consultant, amount, payment schedule, and submission date. Click “Respond” on any quote to accept it, request a revised quote, or decline it. You can add a note with your response.
7. What is a payment schedule and how does it affect my quote?
When a consultant submits a quote, they select a payment schedule that sets the deposit and balance split for that engagement. For example, Schedule 2 means 70% is due as a deposit on acceptance and 30% is due as the final balance on delivery. The exact amounts are shown on the quote and in the quote PDF document. If you have a preference, you can discuss it with the consultant before they finalise their quote.
8. What happens after I accept a quote?
Once you accept a quote, a deposit payment is required to begin the consultation. You will see a payment button in your portal. After the deposit is paid, the consultation phase begins and you can communicate with your consultant directly through the portal’s messaging system.
9. How do I make a payment?
Payment buttons appear in your portal at the relevant stages — deposit when a quote is accepted, and final balance when deliverables are submitted. Click the payment button and complete checkout. You will be returned to your request page automatically once payment is confirmed.
10. How will I know when my deliverables are ready?
You will receive an email notification when your consultant submits the deliverables. Log in to your portal, open your request, and go to the “Delivered” section to review and download the files.
FOR CLIENTS — FREE CONSULTATION SERVICES
11. What is the free consultation service?
The free consultation service allows registered clients to post general regulatory questions and receive responses from experienced consultants at no charge. It is designed for high-level, generic regulatory guidance — not for business-sensitive or project-specific work. For confidential or detailed regulatory projects, please submit a paid request through your client portal.
12. How do I submit a free consultation request?
Log in and go to the Submit a Free Consultation page from your portal menu. Click “New Free Consultation,” enter a title and description of your question, and optionally select the relevant regulatory specialties and countries. Once submitted, the platform will automatically match and notify the most relevant consultants from our free consultation pool, and you will receive an email when a consultant responds.
13. Who can see my free consultation?
By default, new free consultation requests are private — visible only to you and the consultants assigned to respond. The platform may choose to make some request/consultation information public after closure, which means the question and answers may appear in our public Knowledge Database to benefit the broader regulatory community. Visibility is controlled by the platform administrator only, so please do not include any sensitive or commercially valuable information in the free consultations.
14. Can I have a back-and-forth conversation with the consultant?
Yes. Free consultations support a full threaded conversation between you and each assigned consultant. Each consultant has their own private thread with you — consultants cannot see each other’s responses. You can exchange messages and attach files within each thread.
15. How many free consultation requests can I have open at the same time?
The platform limits the number of simultaneously open free consultation requests per client to prevent misuse of the service. The current limit is set by the platform administrator. If you have reached the limit, you will need to close an existing request before submitting a new one.
16. Can I convert a free consultation to a paid request?
Yes. If your regulatory question develops into a project that requires more in-depth, confidential, or ongoing work, you can click “Convert to Paid Request” on your free consultation page. This creates a new paid request in your client portal, pre-populated with your question details. You can then go through the normal quoting and engagement process with a consultant.
17. What is RegPoint and how do I award them?
RegPoint is a non-cash recognition system for consultants who provide high-quality free consultation responses. When you close a free consultation request, you are invited to award between 0 and 100 RegPoints to each consultant who responded (0 = no award, 100 = outstanding quality). RegPoints are accumulated by consultants over time and may unlock benefits such as reduced platform commission rates in the future. Awarding RegPoint is entirely optional.
FOR CONSULTANTS — PAID SERVICES
18. How does the quoting process work?
When a client request matches your profile, you will receive an email invitation with a link to the request. Log in to your consultant portal to review the request details, ask the client any clarifying questions through the pre-quote discussion, and submit your quote including your fee, payment schedule, and any supporting documents.
19. Can I submit a PDF quote document?
Yes. From the quoting section of your portal, you can generate a professional PDF quote document from your quote details. This PDF includes your company logo (if uploaded to your profile), the client’s request details, your fee, the payment schedule showing deposit and balance amounts, and your terms and conditions. You can attach it to your quote submission.
20. What payment schedules can I offer clients?
When creating a quote, you select a payment schedule that determines how the total fee is split between deposit and final balance. Five schedules are available, ranging from 90% upfront deposit (Schedule 1) to 10% deposit (Schedule 5), with balance of payment on full delivery. Common options include 70/30 and 50/50 splits. The schedule you choose is shown clearly on the quote PDF and in the client’s portal. Choose the schedule that best reflects the nature and risk profile of the engagement.
21. How do I set up payouts for my earnings?
Go to your profile in the consultant portal and scroll to the Payment Options section. You can connect your Stripe account via Stripe Connect for automatic split payments, or provide your bank details for manual bank transfer. Your choice of payout method must be set before a client accepts your quote.
22. What is the platform commission and how is it calculated?
The platform deducts a commission from each payment received. Commission rates are tiered across four levels — Standard, Associate, Partner, and Special — assigned to each consultant by the platform administrator based on experience and contribution. Your current commission level is displayed on your consultant profile page. Your commission statement shows the gross client payment, the commission deducted, and the estimated net amount payable to you.
23. Why does my commission statement say “estimated” net amount?
The net amount shown on your commission statement is calculated after the platform commission but before Stripe’s payment processing fees. Stripe’s fees vary depending on the card type, currency, and your account settings, and are deducted directly by Stripe when the funds are transferred to your account. Your commission statement shows an estimated Stripe fee deduction to help you reconcile, but please verify the exact amount received in your Stripe Dashboard.
24. How do I communicate with the client during the consultation?
Once the deposit is paid and the consultation is underway, use the Consultation discussion thread in your portal to exchange messages and files with the client. Both parties receive email notifications when a new message is posted.
25. How do I submit my deliverables to the client?
When your work is complete, go to the request in your portal, scroll to the deliverables section, upload your files, add an optional completion note, and click “Upload & mark delivered.” The client will be notified by email immediately.
FOR CONSULTANTS — FREE CONSULTATION SERVICES
26. How do I join the free consultation pool?
Log in to your consultant portal and go to the Provide a Free Consultation page. At the top of the page, check the box marked “I am available for free consultations” and save. Once enabled, the platform may match you to client requests that align with your specialties and countries of expertise. You can opt out at any time by unchecking the same box.
27. Can I do both paid and free consultations?
Yes. Joining the free consultation pool does not affect your paid consultation availability in any way. Both operate independently. Free consultation is an opportunity to build your profile, contribute to the regulatory community, and accumulate RegPoints — which may reduce your commission rate on paid engagements in the future.
28. What is RegPoint and how do I earn them?
RegPoint is a non-cash recognition system awarded by clients when they close a free consultation request. Clients can award between 0 and 100 RegPoints per engagement depending on the quality of your response. Your total RegPoint balance is displayed on your free consultant portal and on your consultant profile page. As your RegPoint accumulate, they may qualify you for reduced commission rates on paid engagements. There is no expiry on RegPoint.
29. Can I see my RegPoint history?
Your current total RegPoint balance is shown on your consultant portal. Points earned from each individual free consultation request are listed in your assignment history table. Detailed history by request is viewable in your portal.
PAYMENTS & DOCUMENTS
30. What documents are generated after a payment, and how do I contact support?
Two documents are automatically generated after each payment: a payment receipt sent to the client, and a commission statement sent to the consultant. Both are also stored in the platform and can be downloaded from your portal at any time.
For support, use the “Submit Support Ticket” link on your portal menu to open a ticket. Describe your issue and attach any relevant screenshots or documents. You will receive an email notification when the support team replies, and all correspondence is tracked within the ticket thread in your portal. You can also reach us at info@regaffairs.org.
